Terms & Conditions

1. Introduction
Welcome to Kasaka Tours. By booking a tour with us, you agree to comply with and be bound by the following Terms and Conditions. These govern the relationship between you (the client) and Kasaka Tours (hereinafter referred to as "we," "us," or "our"). Please read them carefully before making a booking.

 

2. Booking and Payment

2.1 Booking Confirmation
A booking is confirmed once we receive a down payment of either 25% or 50% of the total tour cost, depending on your preference. The remaining balance is due no later than the start of the tour unless agreed otherwise. For last-minute bookings, a minimum of 25% down payment is required unless explicitly arranged otherwise.

 

2.2 Payment Methods
Payments can be made via the following options:
Please note that fees associated with the payment methods (e.g., bank transfer costs, 3% credit card surcharge) are non-refundable.

  • Bank Transfer: At your own cost.

  • Credit Card Payment Link: Subject to a 3% surcharge (charged by the payment platform).

  • Alternative Mediator: Such as World Remit.

The remaining balance can be paid either:

  • Upon arrival in cash, or

  • The week before arrival using any of the above-mentioned payment options.

Please inform us of your preferred payment method and down payment percentage (25% or 50%) when confirming your booking. This information will allow us to proceed with your reservations.
 
3. Cancellation and Refund Policy

3.1 Cancellation by the Client
If you cancel your booking, the following cancellation fees apply:

  • More than 60 days before departure: 25% of the total tour cost (down payment)

  • 31 to 60 days before departure: 50% of the total tour cost

  • 15 to 30 days before departure: 75% of the total tour cost

  • 14 days or less before departure: 100% of the total tour cost

All cancellations must be submitted in writing. Refunds, if applicable, will be processed within 30 days of receiving the cancellation notice.
 

3.2 Cancellation by Kasaka Tours
We reserve the right to cancel a tour due to unforeseen circumstances, including but not limited to events such as severe weather conditions, road closures, changes in government regulations, or strikes, natural disasters, political instability, . In such cases, clients will receive a full refund of all payments made. We are not responsible for any additional expenses incurred by the client, such as non-refundable airline tickets.

 

4. Alterations and Modifications

4.1 Changes by the Client
Requests for changes to the itinerary must be made in writing and are subject to availability and additional costs. We will make every effort to accommodate changes but cannot guarantee them.

 

4.2 Changes by Kasaka Tours
We reserve the right to make changes to the itinerary, accommodations, or transportation as necessary due to unforeseen circumstances. Any changes will be communicated to the client as soon as possible, and we will endeavor to provide alternatives of equal value.

 

5. Travel Insurance
Comprehensive travel insurance is mandatory for all clients. This should cover medical expenses, trip cancellation, personal liability, and loss or damage to personal belongings. Proof of insurance may be required before the commencement of the tour.
 
6. Health and Safety
Clients are responsible for ensuring they are in good health and fit to participate in the tour. Any pre-existing medical conditions must be disclosed at the time of booking. We reserve the right to refuse participation to any client who, in our opinion, may jeopardize the safety or enjoyment of the tour for others.


7. Passports, Visas, and Vaccinations
Clients are responsible for obtaining all necessary travel documents, including passports, visas, and vaccination certificates. We are not liable for any issues arising from incomplete or incorrect documentation.


8. Liability
Kasaka Tours is not liable for any loss, injury, or damage to person or property in connection with accommodations, transportation, or other services resulting directly or indirectly from any acts of God, dangers incident to the wilderness, fire, breakdown in machinery or equipment, acts of government, or other causes beyond our control. We will, however, do everything we can to support our clients during an emergency.


9. Force Majeure
We shall not be held responsible for any failure to perform our obligations due to events beyond our control, including but not limited to natural disasters, war, strikes, or government restrictions.


10. Complaints
Any complaints must be communicated to the tour leader or our office as soon as possible to allow for immediate resolution. If the issue is not resolved to your satisfaction, a formal complaint must be submitted in writing within 14 days of the tour's conclusion.


11. Governing Law
These Terms and Conditions are governed by the laws of the United Republic of Tanzania. Any disputes arising shall be subject to the exclusive jurisdiction of Tanzanian courts.
